1. Information We Collect

Information you give us directly

When you inquire about a property, make a reservation, sign a lease, or make a payment, we collect:

  • Your name and the names of other guests in your party
  • Email address, mailing address, and telephone number
  • Reservation details, including property, arrival and departure dates, number of guests, and number of pets
  • Lease and agreement information, including your signature on a rental agreement
  • Payment amounts, payment schedule, and payment history
  • Any information you choose to include in messages, inquiries, or reviews

If you are staying at one of our Dominican Republic properties, you may also submit optional requests through the guest preferences section of our website, including airport transportation details, dinner reservations, and drink preferences. Providing these is entirely your choice.

Payment information

Card payments are processed by Stripe, Inc. Your card number, expiration date, and security code are entered on a secure payment page and transmitted directly to Stripe. We do not receive, see, or store your full card number. We retain only a record that a payment was made, the amount, the date, and a transaction reference.

Information collected automatically

Our website runs on WordPress and may automatically record technical information such as your IP address, browser type, device type, pages visited, and the date and time of your visit. Our website uses cookies and similar technologies for basic functionality, security, and to remember your preferences. You can disable cookies in your browser settings, though some parts of the site may not work correctly if you do.

Information from other sources

If you book through a listing platform or travel agent, that platform may share your contact and reservation details with us so we can complete your booking.

2. How We Use Your Information

We use your information to:

  • Respond to your inquiries and provide quotes and availability
  • Create and manage your reservation, including preparing your rental agreement
  • Process payments, send payment reminders, and issue receipts and invoices
  • Send you booking confirmations, arrival instructions, and welcome information
  • Arrange optional services you request, such as airport transportation or dinner reservations
  • Communicate with you about your stay while you are our guest
  • Request a review after your stay
  • Send you occasional marketing emails about availability and special offers, if you have consented to receive them
  • Keep accounting and tax records, and comply with applicable legal obligations
  • Protect our properties and enforce the terms of your rental agreement

Legal bases. Where required by law, we rely on the following: performance of our rental contract with you; your consent (for marketing emails and optional service requests); our legitimate interests (operating and improving our business, preventing fraud); and compliance with legal obligations (tax and record-keeping).

3. How We Share Your Information

We do not sell your personal information, and we do not share it with third parties for their own advertising purposes.

We share information only as needed to run our business:

  • Stripe — to process your card payments
  • Brevo — to send marketing emails to guests who have subscribed
  • Hostinger — our website and database hosting provider
  • Resort and property partners — for our Dominican Republic properties, we share your name, arrival and departure dates, party size, and any all-inclusive plan or Gold VIP details with Lifestyle Holidays Resort so your stay and resort privileges can be arranged
  • Service providers you request — transportation companies, restaurants, and similar providers, limited to what is needed to fulfil your request
  • Property managers, cleaners, and maintenance contractors — limited to arrival and departure dates and the information needed to prepare the property
  • Professional advisers — our accountant, bookkeeper, or attorney, where necessary
  • Legal disclosures — where required by law, court order, or valid request from a public authority, or to protect our legal rights, property, or the safety of others

4. International Transfers

We operate from the United States, and our website and database are hosted in the United States. If you contact us or book with us from outside the United States, your information will be transferred to and stored in the United States, which may have different data protection laws than your own country. If you are booking one of our Dominican Republic properties, your reservation details will also be shared with our resort partner there, as described in Section 3. Where we transfer information out of a region that restricts such transfers, we take steps to ensure it remains protected, including relying on contractual safeguards with our service providers.

5. How Long We Keep Your Information

We keep reservation, lease, and payment records for as long as needed to provide our services and for at least seven years afterward, to meet tax, accounting, and legal requirements. Marketing contact details are kept until you unsubscribe or ask us to delete them. Website technical logs are kept for a shorter period, typically no more than 12 months.

6. How We Protect Your Information

We use industry-standard measures to protect your information, including encrypted (HTTPS) connections on our website, password-protected administrative access to our booking system, and restricting access to guest records to those who need it to do their work. Card payments are handled entirely by Stripe on secure, PCI-compliant infrastructure.

No method of transmission or storage over the internet is completely secure, so we cannot guarantee absolute security. If a data breach affecting your personal information occurs, we will notify you and the relevant authorities where the law requires it.

7. Your Choices and Rights

Marketing emails. Every marketing email we send includes an unsubscribe link. You can also email us and we will remove you from our list. Unsubscribing from marketing does not stop essential messages about a reservation you have already made, such as payment reminders and arrival instructions.

Access, correction, and deletion. You may ask us for a copy of the personal information we hold about you, ask us to correct anything inaccurate, or ask us to delete it. Depending on where you live, you may also have the right to restrict or object to certain processing, to receive your information in a portable format, and to withdraw consent you previously gave. We may need to keep certain records (such as completed leases and payment history) where the law requires it.

To make a request, email maryhousevacationrentals@gmail.com. We will respond within the time frame required by applicable law, generally within 30 to 45 days. We will not discriminate against you for exercising these rights.

Complaints. If you are in the European Economic Area or the United Kingdom, you have the right to lodge a complaint with your local data protection authority. If you are in the United States, you may contact your state attorney general’s office.

8. Children

Our properties are rented to adults, and our website is not directed at children. We do not knowingly collect personal information from anyone under 18 except for the names and ages of children included in a booking party, which a booking adult provides. If you believe a child has given us information directly, contact us and we will delete it.

9. Third-Party Links

Our website may link to other sites, such as resort pages, activity providers, or travel resources. We are not responsible for the privacy practices of those sites, and we encourage you to read their privacy policies.

10. Changes to This Policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. If we make a significant change to how we use your information, we will let you know by email or a notice on our website.
